Terms of Service

FacilityBase is provided by Prabodhi Life LLP, a limited liability partnership registered in India with its registered office at 104, G Wing, Kailash Industrial Complex, Vikhroli Parksite, Mumbai 400087 ("FacilityBase", "we", "us"). These terms govern your use of the FacilityBase web app, worker portal, client portal and related services (the "Service").

By creating an account, or by using the Service on behalf of an agency, you agree to these terms. If you accept them for a company, you confirm you are authorised to bind it.

Agency owners sign up with a mobile number verified by one-time password, or with Google. Owners can invite team members and assign them roles; each role sees only what that role is allowed to.

You are responsible for keeping sign-in details confidential, for the people you invite, and for everything done under your agency's account. Tell us promptly at support@facilitybase.in if you suspect unauthorised access.

New agencies get a 14-day free trial with no card required. After the trial, continued use of paid features needs a subscription on one of the plans shown in the app.

• Plans are billed monthly or annually in Indian rupees, inclusive of applicable GST, through Razorpay.
• Each plan has limits (for example on staff, clients and WhatsApp messages). The app tells you when you are near a limit.
• If a renewal payment fails we notify you first; if it stays unpaid, the account moves to the Free plan rather than being deleted.
• You can change or cancel your plan in the app. Fees already paid are not refunded except where the law requires.

Everything your agency enters — employees, attendance, payroll, invoices, clients and documents — belongs to your agency. You give us permission to store and process it only to provide the Service to you.

You are responsible for having a lawful basis to enter personal data about your workers, clients and contacts, and for the accuracy of what you enter. For worker data we act as your data processor; see our Privacy Notice.

FacilityBase calculates wages, PF, ESI, professional tax, labour welfare fund, TDS and GST from the rules and settings in the app and the data you enter. These calculations are tools to help you, not professional advice.

You remain responsible for checking figures before paying workers, filing returns or issuing invoices, and for meeting your own statutory obligations. Consult a qualified professional where needed.

You agree not to:

• use the Service for anything unlawful, or to send spam or unsolicited messages to workers or clients;
• try to access another agency's data, probe or break security, or disrupt the Service;
• resell or copy the Service, or reverse-engineer it except where the law allows;
• upload content you have no right to share, or that contains malware.

The Service can send WhatsApp messages, SMS and email to your workers and clients (for example payslips, invoices and one-time passwords). You confirm you have their consent where the law requires it. Delivery depends on third-party networks and is not guaranteed.

We work to keep the Service available and secure, but it is provided "as is" and may occasionally be interrupted for maintenance or reasons outside our control. We may improve or change features; if a change materially reduces what a paid plan includes, we will tell you in advance.

To the extent the law allows, we are not liable for indirect or consequential losses, lost profits, or losses caused by data you entered or by third-party services. Our total liability in any 12-month period is limited to the fees you paid us in that period.

You can stop using the Service at any time. We may suspend or close an account that breaches these terms, after notice where reasonable. After closure you can ask us to export or delete your agency's data; we keep records only where the law requires (for example tax and audit records).

These terms are governed by the laws of India. Courts at Mumbai have exclusive jurisdiction.

We may update these terms. We will show the new date at the top of this page and, for material changes, notify account owners before they take effect.
